Login

Following successful login a cookie containing your username and password is stored on your computer by your browser. This is done so that MailProbe can accurately identify each unique user calling for service. Unless you choose otherwise this will be a 'session' cookie which will disappear when you close the browser.

  • If during the login request you select Remember login? then the cookie will be persistent i.e. it will have a future expiry date and therefore will remain on your computer as long as you keep selecting 'Remember login data?'. If this cookie is present when you login then you need not enter any data. See Note 1 below regarding cookies containing passwords.

  • If you change your password during a session ensure that you close all browser windows after Logout in order to update cookies. Under certain conditions you may experience difficulty the next time you Login

  • If you do NOT select 'Remember login?' each time you login then after logout the cookie, regardless of type, will be erased when you close the browser.

  • Some useful information is displayed following a login:

    • date and time of last login and the IP address from where it was done. If it was not you then you should first change your password then provide the admin with the data

    • if spam control is enabled the number of remote blocklists which are responding and may be used to filter out spam. You will also be informed if your own IP address is listed which means that some of your outgoing mail could be blocked and never delivered

    • the amount of disk storage you have used compared to your quota. If you have exceeded quota there will be a warning to this effect

    • if outgoing mail is being restricted, the number of recipients you can send to during a specified period of time

Inbox Displays the headers of email messages that you have received.

  • To read a message click on the Subject.

  • To save or delete specific messages, first check their 'Sel' boxes then press or
    Saved messages are stored in the Save folder

  • To select all messages check 'All'. CAUTION: delete operations always erase messages from your mail server, and can not be recovered.

  • There are several message sorting options available based on dates: show dates in terms of a different time zone; sort messages in order of time sent; and sort in order of arrival. Use the button to set these values. If you change any of these they will remain in effect until you logout. If you want any to keep their values you should update your Options

  • To reply to a message without first reading it click the checkbox next to it then press . Check to all to include all recipients.

  • If spam control has been enabled you will see at the right of the page. When pressed, any messages which you have selected will be treated as spam. They will be recorded in a database for future reference then deleted.

  • At bottom of page there is a convenient method of switching to a different POP account without going back to the Accounts menu. Specify your values then activate using the button.

Read Message There are eight option buttons, one in the message header and seven below the message:

  • to address book will appear to the right of From: or Reply-to: if it exists. This will add the sender to your address book in a new window.

  • will load a new page where you can compose and send a reply including attachments. If you check "to all' the reply will be sent to all recipients.

  • will load a new page where you can add an optional message to go with the (hidden) email you are forwarding. It is sent complete with any attachments it had.

  • will copy the message to your Save folder.

  • will erase the message from your mail server.

  • Show full header will display the entire header of the message with all of its routing information. The button will change to Show normal header so that you may reverse the operation.

  • View printer-ready message will display the header and message in a new window without any additional formatting, colors etc. You can then print it using your browser's Print facility. Close the new window when finished.

  • If spam control has been enabled you will see at the right of the page. This will process the message as spam then delete it from the mail server.

Compose This is for composing and sending a new email message with up to three attachments. If you wish to append your signature file beneath the message or save a copy in your Sent folder you should check the appropriate boxes. If Email address verify is in effect, when your message is sent the recipient's mailserver is queried to determine delivery status and you are informed of the result.
Accounts This menu selection permits you to record login data for each of your POP accounts and subsequently select the mailbox that you wish to be activated at any time. When you login to a mail session you will be notified if no POP account has been selected:

  • You must at least one POP account. Enter the User ID, (mail) Server name and Email address given to you by your ISP or administrator and press

  • Select it with the radio button, enter the password, optionally check the "Remember" box then press

  • The "remember' option creates a persistent cookie containing the account login data on your computer thus making it the default; the next time you login to MailProbe that account will automatically be activated. Email passwords are never stored online because they must remain clear i.e. not encrypted for the mail server. See Note 1 below regarding cookies containing passwords.

  • To make changes to an existing record select it and press

  • To delete an existing record select it and press

  • You can change to a different POP account while checking your Inbox. Select it from the drop-down menu at the bottom of the page and continue as described above.

Address This accesses your Address Book and Signature File:
  • You can new addresses, , and addresses. Email address is the only required field.

  • Before pressing the Edit or Remove button you must first select a book entry using the radio buttons ( ) below the appropriate operation button. To use the Sort key first select a field to sort on from the drop-down menu

  • Below the Address Book is a text box for entering or editing your signature. After each change press

Save This accesses your Save folder which holds messages you transferred from other folders for safekeeping. It has functions similar to the Inbox:

  • To read a message click on the Subject.

  • To delete specific messages, first check their 'Sel' boxes then press

  • To select all messages check 'All'. CAUTION: delete operations always erase messages from the folder and can not be recovered.

  • There are several message sorting options available based on dates: show dates in terms of a different time zone; sort messages in order of time sent; and sort in order of arrival. Use the button to set these values. If you change any of these they will remain in effect until you logout. If you want any to keep their values you should update your Options

  • After reading a message the functions available are similar to the Inbox: Reply; Forward; Show full headers; View printer-ready message; and Delete.

Sent This accesses your Sent folder which holds copies of messages which you have sent and chosen to save. You can:

  • Read a message by clicking on the Subject.
  • Delete messages by first selecting them (or 'All').
  • After reading a message the choices available are: Forward; Show full headers; View printer-ready message; and Delete.

Profile This accesses your registration record and permits you to update these parts of your personal Profile:

  • Name, address and telephone no.
  • Contact email address
  • Password
  • Question and answer for lost password challenge

If you change your password while a persistent login cookie is stored in your browser ensure that you close all windows of the browser after logout. See Login above

Options This accesses your Preferences file which holds default values for message sorting and spam management:

  • Sort by time message was sent
  • Sort by time of arrival
  • Display times adjusted for a different time zone
  • Number of message headers to fetch for each call to the mail server

If spam management is enabled:*

  • Permit automatic deletion of spam by the AI
  • Copy spam to Spam folder prior to deletion
  • Report details of AI activity
  • Use of Personal Block List
  • Filter message by Subject line using length, content and quality
  • Filter message by From line using a list of sender addresses
  • Exempt message from filters if source IP address is protected

Logout This ends your email session. It is advisable to exit your session in this manner as a safeguard against unauthorized use of your active account. It is also recommended that you protect your mail accounts as follows:

  • Close your browser to erase the session cookies.
  • If you selected "Remember login?" during login then you should not permit anyone else to use your computer e.g. shutdown. It holds a persistent cookie containing your username and password thus anyone can login to your account. This can be erased the next time you login by NOT selecting the "remember" option.

Notes

MailProbe passwords are stored in cookies on your computer in the same manner as they are stored with your PC based mail programs e.g. MS Outlook, NS Messenger etc. because they must remain clear (not encrypted). You should protect them from unauthorized access.
